The full inventory

Contacts, organisations, deals, pipelines, notes, activities, emails, files and custom fields. Each one is a line on the checklist with a count next to it. If it exists in the old system, it's accounted for.

Record counts, both ends

I count records in the old system before the move and in the new one after. If 4,213 contacts leave, 4,213 arrive. You sign off both numbers before the old system is retired.

Field mapping you approve

Every custom field gets a documented destination before a single record moves. Dropdown values, owners, deal stages and date formats included. No Notes2_FINAL columns dumped into a miscellaneous field.

Parallel run, then cutover

Both systems run side by side while your team keeps selling. When the new CRM has held up for real work, we pick a cutover date. Zero downtime, no frozen pipeline.

Two to six weeks for most small business moves, measured from scoping call to cutover. A clean Pipedrive move with standard objects sits at the short end. Years of HubSpot history with custom objects, files and email threads sits at the long end. The parallel run adds calendar time but not disruption: your team keeps working in the old system until the new one is ready.

After the move I count again in the new system. You see both sets of numbers and sign them off. Until they match, the old CRM stays live and nothing gets decommissioned.

Yes, in either direction. Contacts, companies, deals and pipelines map across directly. Notes, call logs, emails and meeting history come too, attached to the right records. Custom properties are mapped to matching fields in the destination, and files are re-uploaded against their deals and contacts. Anything that can't move automatically, like workflow logic, gets rebuilt in the new system rather than quietly dropped.

No. The old and new systems run in parallel while the move happens, so your pipeline never freezes. Your team keeps working in the old CRM as normal, I move and verify the data behind the scenes, and we only cut over once the new system has handled real work. The switch itself happens between one working day and the next.

Honestly, it depends how you sell. A sales team working deals through a pipeline usually lands on Pipedrive. A marketing-led business that wants CRM, email, SMS and booking under one roof usually lands on GoHighLevel. A team that needs marketing, sales and service reporting on one platform usually lands on HubSpot, and I set that up too. And if you're already on HubSpot and the problem is the setup rather than the tool, staying and fixing it can beat moving. I'll give you a straight answer on the scoping call, including when that answer is 'stay put'.

Training first. I run your team through the new system on live screenshare sessions until deals are being worked in it, not just stored in it. The setup is documented so you're not dependent on my memory.
