pipedrive, done properly

UK Pipedrive consultant. I use it every day.

I set up, rescue and automate Pipedrive for small and service businesses across the UK and Ireland. My own pipeline runs in it, every deal, every follow-up. You work with me directly, not an agency account manager.

who it's for

This is for you if

  • You bought Pipedrive months ago and it's still an expensive address book.
  • Deals live in inboxes, WhatsApp threads and a spreadsheet called FINAL_v3.
  • You quote quickly but chase slowly, and nobody knows which quotes are still breathing.
  • An agency set it up, invoiced, and left. Now half the team has stopped logging in.
  • You're switching CRMs or leaving spreadsheets, and can't afford to lose years of contact history.

what i fix

What I fix in Pipedrive

Most broken Pipedrive accounts break in the same four places.

Pipelines that match real sales

Stages named for what actually happens: enquiry in, quote sent, quote chased, won or lost. If your team can't say which stage a deal is in without thinking, the pipeline is wrong. I rebuild it around how you sell.

Custom fields and clean data

I cut the fields nobody fills in, dedupe contacts, and make the ones that matter required. Records you can trust get used. Records full of gaps get abandoned by March.

Automation and integrations

Follow-ups that send themselves when a quote sits unanswered. Email and calendar synced. Xero talking to your deals. Marketing tools feeding the pipeline instead of a spreadsheet. The admin your team forgets is the admin I automate.

Reports owners actually open

One dashboard with the numbers you run the business on: deals added this week, quotes waiting on a chase, win rate, forecast. If you still export to Excel to answer 'how's the month going', I've not finished.

how it works

Four steps, two to four weeks

Most setups take two to four weeks. This is where they go.

  1. Audit

A call and a look inside your account. I map how you actually sell, where deals stall, and what the CRM should do about it.

  2. Build

Pipelines, fields, automations and integrations, built and tested on real deals. You see it working before anything replaces what your team uses today.

  3. Train

Live sessions with your team on your own data, recorded for whoever joins next. Short guides for the three things each role does daily.

  4. Prove

We agree one number before we start. If it hasn't moved in 90 days, you don't pay me again until it does.

how we work together

Built for you, or built with you.

Done for you

I scope it, build it, test it and hand it over documented. You get a working system, not a to-do list.

Done with you

Pairing sessions where I build while you and your team learn. You end up self-sufficient, not dependent on me.

questions

Questions I get asked on calls

Simple, honest pricing. Most work sits between £500 and £1,500 a month, or a fixed project price we agree before anything begins. You pay for what your setup needs and nothing more, and every project carries my promise: we agree one number, and if it hasn't moved in 90 days you don't pay me again until it does. Book a call and I'll tell you what yours needs.

Two to four weeks for most businesses. Week one is the audit and pipeline design. Weeks two and three are the build: fields, automations, integrations and data import. The last week is testing and training. Complex migrations or multi-team setups run longer, but I'll tell you that before we start, not halfway through.

Yes. I move contacts, organisations, deals, notes and activity history, deduplicated and mapped to a structure that fits how you sell. Spreadsheets are usually the messy ones, so I clean as I go rather than importing the chaos. If you're still weighing up the move itself, my CRM migration service covers the whole job, whichever system you're leaving.

You can. Pipedrive is one of the simpler CRMs, and if you have one pipeline, a small team and a spare fortnight, start with its own templates. Hire help when the setup touches other systems, when a first attempt has left a mess, or when two weeks of your own selling time costs more than the fee. Plenty of my rescue work started life as a DIY setup the business outgrew.

Yes, and it decides whether the project sticks. I run live sessions on your own deals, not demo data, recorded so the next hire can watch them too, plus short written guides per role. I also set the account up so the lazy path is the correct path: required fields, automatic follow-up activities, no orphan deals. A CRM dies quietly when the team stops updating it, so training is part of every project, not an add-on.

Different tools suit different jobs. HubSpot fits businesses that want marketing, sales and service on one platform and will pay for that as they grow. GoHighLevel fits agencies running funnels, SMS and bookings at volume; I consult on it too. Pipedrive is what I recommend when the job is a sales pipeline a small team will actually keep updated: it costs less, carries less to configure, and I run my own business on it. If another tool fits you better, I'll say so on the call.

Yes. Some clients book a one-off build and run it themselves, which is fine by me. Others keep a monthly slot for tweaks, new automations and questions as the business changes. Either way you deal with me directly: the person who scoped the project is the person who built it, so there's no handover, no ticket queue and no account manager relaying messages.
